Creating a Report Subscription
Summary
A Subscription connects a report template to a delivery schedule and a set of recipients. Where a template answers "what is in the report," a subscription answers "when does it run, who gets it, and how is it delivered?"
You can create multiple subscriptions from the same template — each with its own schedule, recipients, and filter settings.

Accessing Report Subscriptions
- Open the Admin Console.
- Select Reporting.
- Select Report Subscriptions from the breadcrumb navigation.
The subscription list displays the following for each entry:
- Subscription — The name and description.
- Report Level — Whether the report aggregates data across all environments or is scoped to a specific level.
- Filters — How many tag and group filters are applied.
- Click on the Tag or Resource icon to display the selections for each.
- Recipients — The count of many email recipients or notification channels are configured.
- Click on the icon to display the recipients or channels configured.
- Schedule — The delivery frequency and time.
- Click on the Schedule to view the schedule details.
- Status — Whether the subscription is active or inactive.
Select the options menu (three vertical dots) on any subscription to Edit, Duplicate, Queue a Preview, Deactivate, or Delete it.
Creating a New Subscription
From the Report Subscriptions screen, select [+ New Subscription] button. The New Subscription panel opens with four tabs: Properties, Filters, Recipients, and Schedule.
Recommendation: Start with a subscription that delivers reports only to yourself or a small test group. Once you confirm the layout and data look right, expand the recipient list.
Step 1 — Properties tab
This is the starting point for every new subscription.
- Report Template (required) — Select the template this subscription will use. Only saved templates appear in the list.
- Subscription Name (required) — Give the subscription a descriptive name.
Examples:DBA Team DailyorMonthly Finance Report - Description (optional) — Add internal notes to help other users understand what this subscription is for.
Step 2 — Filters tab
Use filters to scope the report data to a specific subset of your environment.
- Tag — Limit the report to resources that match a specific tag value.
Examples:Environment = ProductionorApplication = Business Unit - Filters — Select specific resources to scope the report.
If no filters are applied, the report includes data from all resources the template is configured to cover.
Select Reset to clear all active filter selections.
Step 3 — Recipients tab
Define who receives the report when it runs.
- Email Addresses — Enter one or more email addresses separated by a space.
Recipients do not need to be WISdom users. - Notification Channels — Select from configured notification channels in your environment. Channels appear as checkboxes with the channel name and icon.
Tip:
Start with just your own email address. Once you confirm the report looks right, add the full recipient list.
Manage who receives multiple reports easily with an Email Notification channel. Only required to update the channel, not all subscriptions.
Step 4 — Schedule tab
Configure when the report runs and which time zone applies.
- Time Zone (required) — Select the time zone for this subscription. All delivery times and report data timestamps will use this time zone.
Frequency — Choose how often the report runs:
- Daily — Select the specific days of the week and the time of day to send the report.
- Days to Send — Toggle the day buttons to choose which days the report should run (Su, Mo, Tu, We, Th, Fr, Sa).
- Time of Day — Enter the delivery time using the time picker.
- Weekly — The report is sent once per week on the day and time you select.
- Time of Day — Enter the delivery time using the time picker.
All schedule times and report observation windows use the time zone you select on this tab. Make sure your recipients are aware of which time zone applies if they are in different locations.
Step 5 — Save the subscription
Select Save. The subscription will appear in the Report Subscriptions list with a status of Active and will run on its configured schedule.
Queueing a Preview
You do not have to wait for a scheduled run to see what a report looks like. Queue Preview triggers an immediate run from any active subscription.
- Go to Admin Console → Reporting → Report Subscriptions.
- Find the subscription you want to preview and open its options menu (three vertical dots).
- Select Queue Preview.
- WISdom queues the report for immediate generation. Once it completes, the run will appear in Report History.
- Open Report History and find the new run. Download the HTML or PDF to review the output.
Tip: Queue a Preview after creating or editing a subscription to confirm the report looks right before the first scheduled delivery goes out to your recipients.
Managing Existing Subscriptions
From the options menu (three dots) on any subscription row, you can:
- Edit — Update any subscription setting, including template, filters, recipients, and schedule.
- Duplicate — Create a copy of the subscription as a starting point for a new one.
- Queue Preview — Trigger an immediate run without waiting for the next scheduled delivery.
- Deactivate — Pause the subscription without deleting it. The subscription remains in the list and can be reactivated at any time.
- Delete — Permanently remove the subscription. This action cannot be undone.
Examples of Subscriptions You Might Create
Using the same template, you can set up multiple subscriptions for different audiences:
Top 10 Poorest Performing Queries — DBA Team— Sent every Monday at 7:00 AM to the DBA distribution list, unfiltered to include all resources.Top 10 Poorest Performing Queries — Platform Owners— Sent every Monday at 9:00 AM to platform and application owners, filtered for each application (tags) or specific resources.Top 10 Poorest Performing Queries — Developers— Sent on the 1st of the month to the DevOps team, either filtered for Production (Tag or Resources) or unfiltered.
