Overview
When a new client logs into WISdom for the first time, the Onboarding Wizard launches automatically. The wizard guides you through the three tasks required to start monitoring your environment: installing a Data Collector, adding the database resources you want to monitor, and inviting your team.
The wizard has five steps, displayed across the progress bar at the top of the screen:
| Step | Name | What You Do Here |
|---|---|---|
| 1 | Welcome | Review the setup overview |
| 2 | Collector | Name your collector and download the installer |
| 3 | Resources | Add the servers and instances to monitor |
| 4 | Team | Invite teammates to access WISdom |
| 5 | Complete | Confirm your configuration and get next steps |
Each completed step is marked with a green checkmark in the progress bar. You can navigate back to any completed step using the Back button.
The wizard will reappear each time you log in until it has been either completed or skipped. Once dismissed either way, it will not reappear. If you need to revisit any setup tasks after the wizard closes, you can manage them in the Admin Console or utilize the Configuration screen.
Step 1 — Welcome
The Welcome screen introduces the three setup tasks the wizard will walk you through:
- Set up the data collector — Download the software that gathers data from your servers
- Add your resources — Tell WISdom which servers and instances to monitor
- Invite your team — Give your colleagues access to dashboards and alerts
Select Continue to begin, or select Skip setup at the bottom left to dismiss the wizard. If you skip, the wizard will not reappear on future logins.
Step 2 — Collector
The Data Collector is a lightweight Windows service that securely gathers data from your resources and sends it to WISdom.
Name Your Collector
Enter a name in the Collector Name field. This is a friendly display name used to identify the collector in WISdom. It is recommended that the name include the host server name for ease of identification. If you leave the field as-is, it defaults to Default or Default_XXXXXX.
Choose a name that reflects the environment or location the collector will monitor, for example, Production East - Servername or Lab Collector - Servername. This makes it easier to identify when you have multiple collectors.
Copy Your Registration Key
The Registration Key field displays a unique key that you will need during the collector installation. Select Copy to copy it to your clipboard.
The registration key is valid for the current UTC day only. A new key is generated at 00:00 UTC. If you do not install the collector on the same day, you will need to retrieve a fresh key from Admin Console › Collection › Data Collectors before running the installer.
You do not need to copy the key right now. You can return to the Data Collectors screen at any time to copy a current key when you are ready to install.
Download the Installer
Select Download Installer to download WISdomInstaller.msi to your machine.
The installer must be downloaded before you can proceed. The Continue button remains inactive until the download is confirmed. Once the download completes, a Downloaded successfully banner appears and Continue becomes active.
Select View Installation Requirements to review prerequisites in the Requirements - Installation & Accounts documentation before installing.
Download or transfer the installer file to the Windows server that will host the Data Collector before running it. WISdom will not begin collecting data until the Data Collector has been successfully installed and configured to collect data from a target.
Step 3 — Resources
The Resources step walks you through adding the database servers and instances you want WISdom to monitor. This step has four sub-steps, shown as dots at the top of the panel.
Sub-step 1 — Add a Resource
The Resources screen opens empty. Select + Add Resource to begin adding your first resource.
You must add at least one resource before you can continue to Step 4.
Sub-step 2 — Select a Platform
Select the platform type for the resource you are adding:
- SQL Server — On-premises or hosted SQL Server instances
- Azure SQL — Azure SQL Database instances
The following platforms are listed as Coming Soon and are not yet available for selection: Windows Server, Snowflake, Databricks, Microsoft Fabric, Oracle, PostgreSQL, and MySQL.
Select your platform and click Next.
Sub-step 3 — Configure Credentials
WISdom needs credentials to connect to your SQL Server resources. By default, the checkbox The collector service account has access to these resources is selected. This means the Windows account running the WISdom Collector service will be used to connect. This is the most common and recommended setup and requires no additional configuration.
Select Next to continue with service account credentials.
If the service account does not have access to your resources, uncheck the box. Two options appear:
- Select Existing Credentials — Check this box to use a previously saved credential set. The default credential listed is equivalent to the service account.
- Create New Credentials — Leave Select Existing Credentials unchecked and complete the fields below to define a new credential. The new credential will be saved in WISdom for future use.
| Field | Description |
|---|---|
| Name | A display name for this credential set |
| Authentication Method | Select one of the following: Microsoft Entra Integrated, Microsoft Entra Managed Identity, Microsoft Entra Password, SQL Login, or Windows Account |
| Username | The account username |
| Password / Confirm Password | The account password |
Select Next when credentials are configured.
Sub-step 4 — Enter Resources to Monitor
Enter the server names, IP addresses, or named instances you want this collector to monitor. Enter one per line in the Resources to Monitor text area.
As you type, WISdom validates each entry and displays a resources detected count below the text area, listing each resolved resource with its type (Instance).
Select + Add Resource to add resources from a second platform — for example, if you want to monitor both SQL Server instances and Azure SQL databases under the same collector.
When all resources are entered, select Continue to proceed.
After adding resources, the Resources screen shows a summary card for each platform group you configured, displaying the resource count and credential type. You can select Edit to modify a group or X to remove it. Select + Add Another Resource to add a platform group.
When the resource list is complete, select Continue to move to Step 4.
Tags can be assigned to resources after the wizard is complete from Admin Console › Collection › Resources.
Step 4 — Team
The Team step lets you invite colleagues to access WISdom. Invited users will receive an email with instructions to log in.
Enter one or more email addresses in the Email Addresses field, separated by spaces. As you type, each validated address appears as a tag below the field. To remove an address, select the X on its tag.
A confirmation message below the tags shows how many teammates will receive an invite.
If you are not ready to invite teammates yet, select I'll do this later → to skip this step and proceed to the summary. You can invite users at any time from Admin Console › Team.
When your invite list is ready, select Continue.
Step 5 — Complete
The Complete screen displays a summary of everything you configured:
| Summary Item | What It Shows |
|---|---|
| Collector | The name you gave your collector |
| Resources | The total number of resources across all platforms added |
| Team | The number of invites that will be sent |
Review the summary carefully. If anything is incorrect, use the Back button to navigate to the appropriate step and make corrections.
When everything looks right, the screen outlines three next steps:
1 — Install the Collector
Run WISdomInstaller.msi on the Windows server that will host the collector. When prompted, enter the registration key displayed on this screen. Select Copy to copy the key to your clipboard. Select View Installation Requirements to confirm prerequisites before running the installer.
2 — WISdom Configures Your Environment
Once the collector is installed, WISdom automatically provisions your database, registers your resources, and begins data collection. You will receive an email confirmation when your environment is ready.
3 — Explore WISdom
While you wait for data collection to begin, visit the Quick Start page to customize your environment — set up monitoring profiles, classify resources, configure cost management, and more.

Select Exit Setup to close the wizard. You will land on the Admin Console › Collection › Collector Health page.
After the Wizard — Retrieving Your Registration Key
After exiting the wizard, you can access your registration key at any time from Admin Console › Collection › Data Collectors.
The registration key is valid for the current UTC day only. A new key is generated at 00:00 UTC each day. Always retrieve a fresh key on the same day you plan to run the installer. Using an expired key will cause the installation to fail.
Accessing Setup Tasks After the Wizard
Once the wizard is closed, all setup tasks are available in the Admin Console:
